Where did the project start in 2021?
The salon sells dresses off the rack, makes them to measure in its own workshop and alters dresses clients bring in. Clients walked in off the street, from Instagram, Facebook and the website, and there was no CRM.
In June 2021 we moved the client base into contacts, merged duplicates and split deals into three pipelines: Sales, Made-to-measure and Atelier. Deals gained fields for the order number, event date, collection date and measurements. Over the summer we connected the website forms and automation rules:
- a fitting booked on the website creates a lead, and a made-to-measure request creates a contact and a deal, with the source and UTM tags;
- every sales manager hears about a new made-to-measure order, and if nobody picks it up within 30 minutes, the head of sales is notified.
How does a made-to-measure order reach the workshop?
In February 2024 the salon’s owner came back on her own. She described the production flow, from patterns and fabric through cutting, sewing and quality check to collection or delivery. Foreseeing every detail up front was hard for her, so we built the Sales and Production pipelines with her in online sessions.
When a sales deal is marked as made-to-measure, an automation rule creates a separate deal in Production. At each stage, rules assign tasks to whoever handles patterns, fabric, cutting, sewing and the quality check, and a closed task moves the deal on. An off-the-rack sale gets a task to write up a work order listing the deal’s products.
The owner chose to keep some transitions manual because the workshop’s process kept changing: deals move by hand from cutting to sewing and from sewing to workshop stock.
How do Altegio fitting bookings become Bitrix24 leads?
Clients book fittings in Altegio. We set up a one-way flow, Altegio to Bitrix24, via Altegio webhooks. New clients first came in as contacts, but the owner found leads easier to work with, so we reworked the integration:
- a lead appears when the status in Altegio is set to “Client arrived”, not at the moment of booking;
- the consultant the client booked with becomes the lead’s owner;
- on a repeat fitting the lead is linked to the client’s existing contact by phone;
- in April 2024 the whole client base from Altegio was imported into Bitrix24.
How do you track several deposits on one dress and see the balance due?
Clients pay in instalments. In April 2024 we agreed with the owner to track payments through Bitrix24 invoices: a handler subtracts paid invoices from the deal amount and writes the result into a Balance field, per deal, however many deposits there are. The owner saw it working on 19 April, and since May a paid invoice switches to “paid” automatically.
Three invoice templates show whether a payment is a deposit or the full amount, plus the discount and the return and exchange terms the owner wrote.
Which channels and services are connected to Bitrix24?
In March 2024 Telegram, Facebook and Instagram were connected through Open Channels, and WhatsApp followed in May. Also in March came the Nova Poshta app, switched in June from a personal key to the salon’s sole-trader business account, and TurboSMS with the salon’s sender name.
Both rounds took about 45 hours of Auspex work: roughly 15 in 2021 and 30 in 2024.
Frequently asked
Can Bitrix24 run made-to-measure dress orders as a separate production pipeline?
Yes. Here a made-to-measure deal opens its own deal in a Production pipeline, where automation rules give the workshop tasks stage by stage.
Does Altegio integrate with Bitrix24, and what data is passed?
Yes, through Altegio webhooks. A client who arrives for a fitting becomes a lead assigned to her consultant; returning clients are matched by phone.
How can Bitrix24 track several deposits on one order and show the balance due?
Each deposit is a separate invoice, and a handler writes the deal amount minus paid invoices into the deal as its balance.
