## Payment

**How much does the app cost?** After the 14-day trial period — from 790 ₴ per month, depending on the number of active warehouses; paying for a year comes with a 20% discount. Special terms for Auspex customers — message us on [Telegram](https://t.me/auspex_support_bot). See [Plans and payment](../pricing/) for details.

**What happens if I do not pay after the trial period?** The module switches to view-only mode: reports and tabs work and data is kept, but you cannot post documents, reserve or write off. After payment everything resumes.

**Do warehouses that are turned off count towards the plan?** No. The plan counts only warehouses that are turned on.

## Accounting

**Why did stock not change after I created a document?** A document changes stock only after it is posted. Open the **Проведення** (Posting) tab and click **Провести** (Post), or move the document to the «Проведено» (“Posted”) stage.

**How do I enter stock that is already in the warehouse?** With a «Прихід» (“Receipt”) document of the «Оприбуткування» (“Stock addition”) type: the warehouse, the products, the quantity and the unit price as the cost. See [Quick start](../quick-start/#step-5-enter-opening-stock).

**Can I change the stock field on the product card manually?** No: the module maintains it and will overwrite a manual value. Change stock with documents — a receipt, a write-off or a stocktake.

**Can I post a document with a past date?** Yes, if stock does not go negative anywhere from that date on and the date is not earlier than the lock date. The module shows the consequences and recalculates cost. See [Cost](../costing/#backdated-documents).

**Can I delete a warehouse?** No, you can only turn it off: posted documents refer to it. A warehouse that is turned off is not offered in new records and does not count towards the plan, and its history stays in the reports.

**How is cancelling posting different from voiding?** After cancelling, the document can be changed and posted again. A voided document is closed for good. Both actions remove the document’s movement and are possible only if stock does not go negative anywhere afterwards.

**How is cost calculated?** As a weighted average per product, one for all warehouses. A transfer does not change it. See [Cost](../costing/).

**How do I add a surplus to stock or write off a shortage after counting the goods in the warehouse?** With an «Інвентаризація» (“Stocktake”) document: click **Заповнити залишками** (Fill with stock), enter the actual quantities and post it. The difference becomes a surplus or a shortage.

## Deals

**Why did the reserve not appear right after I changed the products in a deal?** Uspacy does not notify the module when the products in a deal change. The module checks the deal when you open the **Резерв** (Reserve) tab, every 15 minutes and at night. To check right now, click **Зарезервувати** (Reserve).

**Which deal gets the goods if there is not enough for two deals?** The deal the module processed first. The second one gets a partial reserve and a comment about the shortage.

**What happens if I move a deal back after the write-off?** Stock does not change. To return goods to the warehouse, click **Оформити повернення** (Create return) on the **Резерв** tab and post the document it creates.

**Can I reserve without a warehouse in the deal?** Yes, if a default warehouse is chosen on the **Склади** (Warehouses) tab. Otherwise a deal without a warehouse is not reserved.

## Access and data

**Who can configure the module?** The owner and administrators of the Uspacy portal. On the module screen, other employees see only the «Залишки» (“Stock”) and «Рух товарів» (“Stock movement”) reports, and only in quantities.

**Do employees see cost and profit?** No. Only the portal owner and administrators see cost, stock value, revenue and profit. An employee sees quantity, reserve and documents; the «Валовий прибуток» (“Gross profit”) report is not shown to them.

**Who can post documents?** Anyone whom Uspacy allows to edit the document; those who can only view it see «Немає права змінювати запис в Uspacy — це може зробити користувач з правом редагування» (“No permission to change the record in Uspacy — a user with edit permission can do this”). Anyone who can open the deal sees the **Резерв** tab, but **Списати** (Write off) and **Зняти резерв** (Release reserve) work only for those who can edit it.

**What time zone are the dates in?** The time zone of your Uspacy profile — the same as in other sections of Uspacy.

**What happens to the data if I remove the app?** The «Складські документи» (“Stock documents”) object, the records, the «Склад» (“Warehouse”) field and the templates remain in the portal. The module’s accounting data is kept for 30 days: if you install the app again within that time, accounting continues with the same stock. After 30 days the accounting data is deleted. When the app is removed, a paid subscription is cancelled at the end of the paid period, so the card is not charged again; if you come back sooner, renew it with the **Змінити тариф** (Change plan) button.

**Can one portal see another portal’s data?** No. Each portal’s accounting is kept separately.

**What language is the interface in?** Ukrainian.
