# UpdateActive: Uspacy CRM for the commercial side of a recruiting agency

Auspex implemented Uspacy CRM at UpdateActive, a recruiting agency in Ukraine. Candidates stayed in the CleverStaff ATS, while the CRM now runs the commercial side of the business: employer leads, deals, sourcing strategies and the search process for every vacancy. We set up the pipelines, smart objects and roles for recruiters, sorters and management.

## What was the problem?

UpdateActive recruits staff for companies of different sizes across many industries, mostly for blue-collar roles and mass hiring. The team works with candidates in CleverStaff.

What it lacked was a system for the commercial side: where a lead came from, how far talks with an employer had gone, which sourcing strategy was working for a vacancy, whether the completion certificates were signed. We started with a pre-project assessment, and in late January 2026 the client approved the first two phases: CRM setup and automation.

## What did we set up in Uspacy?

The structure follows the specification agreed after the assessment. It rests on lead, deal, company and contact records. A lead here is an employer that needs people, not a candidate.

- A 12-stage lead pipeline, from New and No Answer to Making an Offer and Closing on Terms, with 14 loss reasons such as Has In-House HR or Will Only Pay on Results.
- An 8-stage deal pipeline running from collecting contract details, through payment and the sourcing strategy, to Candidate Found.
- A 13-stage Search Process smart object: posting the vacancy, sourcing, completion certificates, candidate probation, payment and closing.
- Sourcing Strategies with five statuses, from new to succeeded or dropped.
- Smart objects for client account access and for candidates handed over from CleverStaff.
- Separate access rights for recruiters, sorters and management.

## What does the automation phase cover?

As the second phase, the client approved reminders and tasks for the manager on stage changes in three places: the lead pipeline, the deal pipeline and the Search Process. It rests on a stage description table that spells out what has to happen at each stage, so the CRM sets the next step on a vacancy instead of the manager remembering it.

## What changed?

The agency's commercial work now lives in one CRM, from the first call to an employer through certificates and candidate probation to closing the vacancy.

## Frequently asked

### Did Uspacy replace CleverStaff?

No. CleverStaff remains the ATS for candidates, and Uspacy holds leads, deals, sourcing strategies and the search process. Automatic transfer of candidates into the CRM was not part of the agreed phases: the CleverStaff API exposes vacancy data but not candidate data, so that integration is a separate piece of work with its own estimate.

### Can the agency's partners see the status of their leads?

Not yet. A separate portal where partners would see their leads and statuses was not part of the first two phases. For now, managers mark the partner who referred a lead on the lead record.
